For Ubi offices and commercial units, record the pest, location and activity, then agree access, preparation and a written treatment or monitoring scope. Coordinate shared areas with building management. Four Solutions provides assessed commercial work and service records; F&B operators also need their own daily prevention and follow-up.
An office pantry, food outlet and industrial store can need different plans even when they are in the same Ubi building. Record what is happening in your unit and identify any shared access before requesting treatment.
Record what you see before you call
A few notes make the first conversation much more useful. Write down:
- Where: the pantry, a bin store, the loading door or an accessible store room, not just the floor.
- When and how often: the time of day, and whether it happened once or keeps repeating.
- A photo of the pest or the area, taken from a safe distance.
Do not touch droppings, open electrical panels, lift ceiling tiles, climb, or reach into voids you cannot see. A smell or an unexplained bite does not on its own show that pests are present or which pest it is, so note it as an observation rather than a conclusion.
Your unit, or the building's?
Record activity inside your unit separately from sightings in shared risers, loading bays or bin centres. Ceiling voids may connect unit and common areas; confirm access with building management. Treat these as separate scopes: each needs its own access approval, and the building manager should be told before work touches a shared area. Who is responsible for what depends on your lease and the building's rules, so check those rather than assuming.
Ask the quote to say who provides access to each area, and which findings are referred back to you or the landlord and quoted separately. A pest treatment does not automatically include proofing or building repairs.
Preparing an occupied office
- Food: clear, cover or remove pantry food, cups and open containers as the technician instructs.
- Access: make workstations, under-sink cabinets and store rooms reachable, and arrange passes or keys.
- Cleaners: tell your cleaning contractor the service time, and agree with the technician whether cleaning should wait.
- Records: share your sighting notes and any earlier pest control reports.
Ask the technician about the selected method before the day: any restrictions, how long areas should stay clear, ventilation, and when staff can return. No method suits every office, and downtime is confirmed for your site, not guaranteed in advance.
One incident or a recurring programme?
An assessment may recommend monitoring, a one-off job or recurring visits. Repeat sightings, food handling, shared walls or a history of activity can justify monitoring visits. Use the assessment, site history and any applicable premises requirements to set the schedule. Do not assume that a standard monthly interval suits every office. For how premises type and activity affect the schedule, read how often commercial premises need pest control. For recurring cover, see our pest control contract service and general pest control services.
Office work with Four Solutions
Four Solutions offers commercial work planned around operating hours and recurring contracts with monitoring and reporting. Visit times, access, preparation, and the areas and pests covered are confirmed when we quote, not promised in advance.
What a quote should state
To quote accurately, tell us the office area, the number of pantries, any shared access (lift lobby, riser, loading bay), the pests seen and the site history. A written quote should then state:
- included locations, pests and methods
- visit frequency and what reporting you receive
- how an unscheduled sighting is handled, and whether it is charged
- extra charges and exclusions
NEA also advises asking operators about their experience, methods and track record, setting a clear work scope, and keeping the service report of inspections, findings and treatments. NEA's vector control rules concern registered operators and their licensed or certified technicians, so ask which credential relates to the pest in your quote. See NEA's vector control operator page.
A simple sightings and follow-up log
This is a practical suggestion, not a required form. One shared sheet is enough, with these fields:
- Date and time of the sighting
- Location, for example the level 5 pantry
- What was seen, and where the photo is saved
- Reported by
- Action taken and by whom
- Follow-up owner and date
- Outcome checked
Name one person, such as the office manager, to review the log after each new entry and share it at each visit. Log any repeat sighting and review the affected location, entry points, housekeeping and treatment with your provider. A quiet log alone does not establish that all pest activity has ended.
For food outlets and shared business areas
If your unit handles food, daily housekeeping and food protection sit alongside pest treatment. Use our restaurant and F&B pest guide for kitchen preparation, records and quote comparisons. Coordinate access to shared bins, loading areas and drains with building management. A pest quotation does not automatically include cleaning, structural repairs or every common area.

Ubi pest control FAQs
Who arranges access to shared areas in Ubi buildings?
Coordinate shared risers, loading bays, bin centres and ceiling access with building management. Your lease and building rules determine responsibility. Ask the quote to separate your unit from shared areas and identify access, recommended repairs and any separate charges.
Can office pest work be planned around operating hours?
Four Solutions plans commercial visits around operating hours. The time, access, preparation and return-to-use instructions depend on the selected method and premises, and are confirmed when the work is quoted.
What should an office pest quote and service record cover?
Confirm the pests, areas, methods, visits, reporting, response between visits, extra charges and exclusions. Keep a record of findings and agreed follow-up actions, and name who is responsible for checking them.
Do F&B records guarantee passing an inspection?
No. Records explain findings, work and follow-up; they do not establish that an outlet meets every licence condition. Check the requirements that apply to your business and resolve the conditions identified at the premises.
How often should a Ubi business have pest control?
The assessment, pest evidence, food and waste handling, site history and applicable premises requirements inform the schedule. Do not assume that one standard monthly or quarterly interval suits every office, outlet or store.
